How to Send Form Responses to Google Sheets

Send every form submission to a Google Sheets spreadsheet as a new row. Connect Google under Settings → Integrations, then pick a spreadsheet for each form.

Prerequisites

  • Account: FormRobin Free Plan or Individual Plan
  • Google account: a Google account with Google Sheets
  • Form: at least one form (see Creating Your First Form Manually)

How does the Google Sheets integration work?

  • You link each form to one spreadsheet: a new one FormRobin creates, or one of your existing spreadsheets.
  • On the first submission after you link a form, FormRobin writes the header row: Timestamp, Submission ID, then one column per question.
  • Every completed submission is added as a new row, shortly after it is submitted.
  • Statement and Image blocks collect no answers, so they get no column.

Step 1: Connect Your Google Account

Connect your Google account once:

  1. Open the account menu in the top right and select Settings. The Integrations page opens.
  2. In the Google Sheets section, click Connect Google Sheets.
  3. Sign in to Google and allow FormRobin access to:
    • your Google Sheets spreadsheets (to create spreadsheets and add rows)
    • your Google Drive files, read-only (to list the spreadsheets you can choose from)
  4. You are returned to FormRobin with "Google Sheets connected successfully." and the status Connected to Google Sheets.

Step 2: Link a Form to a Spreadsheet

After connecting, the Google Sheets section shows Configure Form Integrations with every form and its status.

Option A: Create a New Spreadsheet

  1. Find the form under Configure Form Integrations.
  2. In the Spreadsheet dropdown (Choose a spreadsheet...), choose + Create a new spreadsheet.
  3. Click Save.

FormRobin creates a spreadsheet named "[Form name] Responses" in your Google Drive and links the form to it.

Option B: Use an Existing Spreadsheet

  1. Find the form under Configure Form Integrations.
  2. In the Spreadsheet dropdown, choose one of your spreadsheets. The list shows your 100 most recently changed spreadsheets; click Refresh list after creating a new one in Google.
  3. Click Save.

Note: FormRobin writes to the tab named Sheet1 and overwrites the first row with its header row. If the spreadsheet is already linked to another form, a Spreadsheet Already in Use warning appears; click Continue Anyway only if you want both forms in the same sheet.

What gets synced to your spreadsheet?

Column Headers (Row 1)

Row 1 holds the headers; each submission after that becomes one row:

Each completed submission adds one row below the headers.

Step 3: Test Your Integration

  1. Submit a test response on the live form.
  2. Open the spreadsheet: a new row appears shortly after, with the header row above it.
  3. Check that the columns match your questions.

How do I check the sync status?

Under Configure Form Integrations, each linked form shows:

  • Integrated and Last synced (for example "2 minutes ago")
  • The spreadsheet name as a link that opens it in Google Sheets
  • Sync error with a short message if the last sync failed, for example "Spreadsheet no longer exists or has been deleted"

How do I manage the integration?

Open the Spreadsheet

  1. Go to Settings → Integrations.
  2. Under the form, click the spreadsheet name. It opens in a new tab.

Change the Connected Spreadsheet

  1. Click Remove under the form and confirm.
  2. Choose the new spreadsheet in the Spreadsheet dropdown and click Save.

Rows already in the old spreadsheet stay there. The header row is written again on the next submission.

Remove a Form's Integration

  1. Go to Settings → Integrations.
  2. Click Remove under the form and confirm.

New submissions stop syncing. The spreadsheet and its rows are not deleted.

Disconnect Your Google Account

  1. Go to Settings → Integrations.
  2. Click Disconnect Google Sheets and confirm.

Every form's spreadsheet link is removed and new submissions stop syncing. Your spreadsheets stay in Google Drive; after reconnecting, link the forms again.

When and how do submissions sync?

  • Background sync: each completed submission is added shortly after it is submitted
  • Automatic retries: a failed sync is tried up to 3 times; a deleted spreadsheet is not retried
  • Header row: written on the first submission after you save the link. After changing your questions, remove and link the spreadsheet again to rewrite the headers
  • Tab: rows go to the tab named Sheet1
  • Sharing: share the spreadsheet with your team through Google Sheets

Limitations and Requirements

  • One spreadsheet per form
  • 100 spreadsheets in the list: the dropdown shows your 100 most recently changed spreadsheets
  • New submissions only: earlier submissions are not added; export them as CSV instead (see Exporting Form Data as CSV)
  • Not copied when duplicating: a duplicated form is not linked to a spreadsheet

Troubleshooting

No spreadsheets appear in the dropdown

  • The list shows spreadsheets in your Google Drive, up to the 100 most recently changed. Click Refresh list, or choose + Create a new spreadsheet.

Submissions are not appearing in the spreadsheet

  • Check the form's status under Configure Form Integrations. A Sync error shows the reason.
  • "Spreadsheet no longer exists or has been deleted": the spreadsheet was removed from Google Drive. Click Remove and link another spreadsheet.
  • Make sure the spreadsheet still has a tab named Sheet1.
  • Only submissions made after the form was linked are sent; export earlier ones as CSV (see Exporting Form Data as CSV).

Column headers don't match my questions

  • Headers are written once, on the first submission after linking. Click Remove, link the spreadsheet again and submit a response to rewrite them.

"Spreadsheet Already in Use"

  • Another form already writes to that spreadsheet, and its header row would be overwritten. Choose + Create a new spreadsheet instead, or click Continue Anyway if that is what you want.

Frequently Asked Questions

Can I sync past submissions to Google Sheets?

No. Only submissions made after you link the form are added. For earlier ones, export a CSV and import it into Google Sheets.

Does editing the spreadsheet change my FormRobin responses?

No. The sync goes one way, from FormRobin to Google Sheets. Responses stay on the form's Sessions page.

Can several forms use the same spreadsheet?

It is possible after the Spreadsheet Already in Use warning, but each form rewrites the header row with its own questions, so use a separate spreadsheet per form.

Can I choose which questions are synced?
